Information we collect
If you join early access, ScholAgent records your email address, selected area of interest, consent status, and the time of registration. If you submit a privacy request, we record the email address and request type needed to identify and process it.
Information that stays on your device
PDF and Word text is extracted in your browser. Selecting a file alone does not send it for AI processing. When you confirm permission and request an assessment, extracted text, selected context and any previous findings used for comparison are sent through the ScholAgent server to OpenAI. Original document files are not uploaded to our document storage.
How information is used
- Send occasional ScholAgent launch, book, method, resource, and product updates.
- Understand which academic audiences are interested in early access.
- Process access, correction, deletion, and consent-withdrawal requests.
- Maintain site security, prevent abuse, and diagnose service failures.
ScholAgent does not sell early-access information and does not use third-party advertising trackers on this site.
Assessment privacy and retention
Research text and generated assessments are not stored in the ScholAgent database. They remain in this browser tab until you leave or start a new assessment. Human-review choices also stay in the tab; download the Word assessment to keep them. The server keeps request identifiers, authenticated user identifiers, dates, request status and usage amounts to enforce limits and prevent abuse. These usage records are separate from document content.
OpenAI processes the extracted text to generate the assessment. We request that response state not be stored (store: false). OpenAI’s API data controls may still retain abuse-monitoring logs, generally for up to 30 days, unless another approved arrangement applies. API content is not used for model training by default. See OpenAI’s data controls. Do not upload material you lack permission to share, and remove unnecessary personal identifiers.
Early-access records
Form submissions are stored in access-controlled platform infrastructure. Requests are validated and rate-limited before storage. Early-access records are kept while the subscription remains active or while reasonably needed to operate the programme. Privacy requests may be retained long enough to document completion and comply with applicable obligations.
Your choices and rights
You may withdraw consent or request access, correction, or deletion. Rights can differ by location, and identity verification may be required before a request is completed. Future messages will also provide an unsubscribe method where applicable.
Changes to this notice
This notice may be updated as ScholAgent introduces new services or legal requirements change. Material changes affecting existing early-access records will be communicated through an appropriate channel.
